Admin Roles - Permissions

These admin roles include the minimum level of permissions required to perform typical responsibilities of the position, with notes on optional permissions and when to grant them. For more information on what is included in each role, click here.

Admin Permission Descriptions

Each admin "recipe" includes the most common permissions for that role within the council. Some smaller councils may combine several roles into one staff member, while larger councils may further delegate responsibilities. These role-based-permission lists are based on the typical council and are meant to act as guidelines when building admin accounts in Tentaroo.

For permissions on the General tab, they are either granted or not granted.

For permissions on the Events tab, they can be granted to all Event Types by using the check boxes next to the role, or granted to select Event Types by clicking on the specific Event Type(s) in each box. Please note that some permissions are included with others, so if you select a higher level permission, others will also be highlighted and faded, indicating that they are included in another permission.

Similarly, permissions on the Locations tab can be granted to all Locations or select Locations, and some permissions are included in others.

Roles - Click the Role to View Permissions

Primary Tentaroo Administrators

Management positions, responsible for managing staff and backing up team.

System Admins have ALL permissions in the system; we advise limiting these to 3-4 key team members. Regardless of position at the council, these individuals are either primary or backup system managers.

General System Admin Required - grants ALL permissions in the system.

Webmaster

Manages web content for at least one website. May be combined with other roles.

General Add New Locations Optional - grant if needed for adding Calendar Events if a new location is in use.
Websites Edit Websites Required - grant to All Websites or select websites.
Websites District Pages/Events Required - grant to All Websites or select websites.
Websites Allow Source Code Changes Required - grant to All Websites or select websites.

District Executive

Level of responsibility in Tentaroo varies by council. Typically, needs access to the district's pages and events. May also be responsible for managing own district's event and training registrations.

Registrar

Needs to post payments, update group accounts, build and manage event registrations, manage facility bookings, and build the calendar.

General Manage Groups Required - allows checkout.
General Edit Previous Orders Required - allows update of notes after checkout.
General Add Refunds Optional - depends on if this is handled by the Registrar. Also grant Manage Groups in order to checkout.
General View Payment Reports Required - grant to allow admin to track payments for the system.
General Manage Facility Types Optional - includes managing all Facility Types in all Locations. To set permissions for select Locations, do not enable this.
General Add New Locations Required - necessary for building the calendar if a new location is in use.
General Add New Event Types Required
Events Manage Event Types Required - check Add to All; includes all lesser permissions for all Event Types.
Locations Manage Facilities Required - necessary for making adjustments to facilities.
Locations Blackout Dates Required - allows blocking out facilities when in use for events.
Locations Facility Reservations (Group) Required - allows managing trips and reservations in the group account.
Locations Facility Reservations Override Required - allows customization of rates.
Locations Facility Reports Required

Cashier

Posts payments to facility trips and event registrations.

Comptroller/Accountant

Responsible for reconciling online transactions; might need to manage groups in order to add refunds and check on account records.

General System Admin Optional - only grant if admin needs to add/edit/delete GL Accounts. Includes all other permissions.
General Manage Groups Optional - grant if admin will be managing groups directly.
General Edit Previous Orders Optional - grant if admin will be managing groups directly.
General Add Refunds Optional - grant if admin will be managing groups directly. Also add Manage Groups in order to checkout.
General View Payment Reports Required - these are currently in the Legacy AIR App.
Events Event Reports Optional - grant to all Event Types.
Locations Facility Reports Optional - grant to all Locations.

Auditor

Responsible for reviewing financial history. Should not be granted any editorial rights.

Summer Camp Administrators

Office Manager, Camp Director, Business Manager roles. Needs to add camp admins, manage group registrations and participant class schedules, apply payments, and prepare camp check-in and check-out packets.

General Manage Admin Users Optional - grant if admin is responsible for setting up staff accounts. Rescind after camp.
General Manage Products Optional - grant if Products are in use and are managed at camp.
General Manage Groups Recommended - allows admin to make changes to the group and to checkout of the cart.
Events Manage Events Recommended - grant to select Event Types. All other Event permissions are inherited for the selected Event Types if this is granted.
Events Message Center Required - grant to select Event Types.
Events Allow Historical Changes Required - grant to select Event Types.
Events Event Class Schedule Required - grant to select Event Types.
Events Attendance and Requirements Completed Required - grant to select Event Types.
Events Event Registrations (Group) Required - grant to select Event Types.
Events Event Reports Required - grant to select Event Types.

Camp Rangers / Campmasters

Camp Rangers can be responsible for as little as processing checkin and pulling reports and as much as building and maintaining facilities in the system.

General Edit Previous Orders Optional - allows admin to add notes to previous orders.
General Manage Facility Types Optional - gives blanket editorial access to Facility Types for all Locations. Further Facilities permissions make this redundant.
Locations Edit Locations Required - allows admin to manage all Locations and their facilities. All other Locations permissions are inherited.

Merit Badge Counselors

Enters attendance and requirements completed. May need to generate class-related reports.

Events Attendance and Requirements Completed Required - grant to select Event Types to update attendance and requirements completed.
Events Event Registrations (Group) Optional - grant to select Event Types to make changes to the group's class schedules. Also grant Manage Groups to checkout of the cart.
Events Event Reports Optional - grant to select Event Types to allow access to reports.

Event Volunteer

Needs access to reports for their event(s). May need to manage group registrations and participant class schedules and/or post payments.
