Event Rates - Early / Base / Late
Last edited 10/8/2021
Tentaroo event pricing supports up to three date-dependent rates for each participant type within each pricing tier: Early, Base, and Late. These allow you to give a lower rate for those who commit early and a higher rate for those registering closer to the event. Date dependent rates encourage early commitment and help cover costs of last minute materials.
Benefits
- Up to three date-dependent rates are supported for each event.
- These can be renamed under Event Type Settings, i.e. early bird, regular, and express.
- Date-dependent rates can be set for any event whether you use numbers, names, or a combination.
Each Participant Type under each enabled Pricing Tier can have custom Early, Base, and Late Rates for ultimate control over your pricing for your participants.
Three Rates
When you are offering three date-dependent rates for an event, you will set the registration close date at the Event Type Settings under Pricing as a relative number of days before the start date of the event. For example, if your event begins on a Sunday and you want registration to close a week ahead, you will enter 7 days to have registration close on the previous Saturday at 11:59 PM.
Also in Event Type Settings, you can rename your rates - the default is early, base, and late, but you can call them whatever you want such as early bird, regular, and express.
In your Event Settings, you will set the dates that base and late pricing go into affect.
To set your prices, go to your Event Settings and enter your rates in the early, base, and late spots for each participant type in each enabled pricing tier. Bear in mind that custom names only display in the user interface. If your event uses numbers and calculates pricing based on date paid in full, you will want to calendar the dates that rates increase so you can use the Recalculate Pricing button on the Event Dashboard to update all participant rates if they haven't paid in full yet.
Participant types that have a flat rate can simply have the same pricing entered at every rate spot.
Two Rates
If you are only offering two different date-dependent rates, you only have to use the "early" and "base" rates. You can disable the late rate at the event type and set a specific registration close date at the event in the "Late Pricing Start Date" field. Registration will close at the start of this date at midnight if "Allow Late Registrations" is disabled in Event Type Settings. Set the Base Registration Start Date for the date the base pricing goes into affect.
To set your prices, go to your Event Settings and enter your first rate amount in the Early section (custom names only display in the user interface) and enter your second rate amount in both the Base and Late sections. If any registrations are added by an admin after online registration closes, new participants will be granted the correct rate for their participant type.
Participant types that have a flat rate can simply have the same pricing entered at every rate spot.
One Rate - not date dependent
Similar to the "Two Rate" option, you can disable "Allow Late Registrations" at the event type and use the "Late Pricing Start Date" as the cutoff date for registration. The "Base Pricing Start Date" can be set to anything as long as it is before the "Late Pricing Start Date." You can also change the names of the pricing periods in Event Type Settings under Pricing and those custom names will be displayed to end users.
To set your prices, go to your Event Settings and enter the single rate pricing in each rate section for each Participant Type. Even though you aren't using the base and late periods for increasing the rates, you still need to enter your rates in these so the software applies the correct price all the time.
